Reef Management can provide the HOA with services in either of the following areas:

  • HOA Management and booking services
  • HOA Financial services
  • Make periodic inspections of the property to determine necessary maintenance and repairs
  • Arrange for maintenance and repairs of the property and grounds as directed by the Owners
  • Seek bids prior to repairs to ensure best price and submit for approval
  • Supervise and check all repairs prior to contractors being paid
  • Maintain regular communication and in-service training with caretaker and housekeeping staff to make sure current property conditions and guest comments and requests are responded to
  • Maintain landscaping; design and restore as necessary
  • Respond promptly to all owner and guest inquiries
  • Obtain annual licenses; stay current on insurance and property tax
  • Maximize the net income of the property
  • Invoice annual HOA dues and late fees
  • Invoice legal fees as instructed by the Executive Committee
  • Prepare and mail past due notices
  • Record vendor bills
  • Review and prepare payment to contractors or service providers listed in the annual budget or otherwise approved by the HOA
  • Prepare financial statements
  • Reconcile expenditure and budgets on a quarterly basis and provide statements to the Executive Committee and members as directed
  • Assist in budget preparation
  • Process payroll disbursements
  • Prepare payroll tax (Social Security, PAYE and TD-4)
  • Establish bank account in the name of HOA
  • Reconcile bank account
  • Deposit HOA funds into appropriate account(s)
  • Pay vendor bills upon authorization from the Executive Committee in timely manner
  • Collect all rents and other charges due to the Owner
  • Maintain listing of all current homeowners, including mailing address of absentee owners
  • Maintain list of vendors, contractors and services providers
  • Retain files and records provided by the HOA, if applicable
